What to expect from this position

We are seeking a highly organized and proactive Administrative Assistant to join our team.
This role will play a crucial part in ensuring the smooth functioning of our office operations, managing administrative tasks, and supporting various departments. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to handle multiple responsibilities efficiently.
Proficiency in Italian and an intermediate level in English are required for effective communication with local and international stakeholders.

Key responsibilities:

  • Supporting the office Management;
  • Planning, coordinating and assisting internal events;
  • Managing Assets and Maintenance;
  • Ensuring Travel Arrangements;
  • Invoicing and Financial Support;
  • Document Classification;
  • Collaboration with Accounting Office;
  • Supplier Selection and Service Monitoring;
  • Contract Management;
  • Recruitment Support;
  • Payroll Support.

Must Have

  1. Knowledge of Italian language (level B2/C1), French language (mother tongue) and English language (level B1/B2);
  2. High school diploma or equivalent;
  3. Additional qualifications as an Administrative Assistant or in office administration is a plus;
  4. Strong organization and multitasking skills;
  5. Proficiency in MS Office and office management software;
  6. Ability to work independently and as part of a team;
  7. Attention to detail and problem-solving abilities.
